Conference Room Request Form
Monday – Friday from 8:00am – 4:30pm. However, individual(s) conducting the meeting may begin set up at 7:00 am.
ELIGIBILITY & PRIORITY
The MCA Conference Room is open to MCA Employees, MCA Tenants, Active Duty Marines, and civic-military organizations. Priority is given accordingly.
There is no charge for using the MCA Conference Room.
We invite your conference attendees to browse and feel free to purchase books or gift items in the MCA Bookstore. (No Military ID is required for purchases).
CONFERENCE ROOM DESCRIPTION
Our first floor conference facilities will accommodate a maximum of 35 persons comfortably. The physical layout includes a large classroom and two smaller “break-out” rooms, as well as a kitchen and coat room/storage area. The entire space can be closed off with double doors.
EQUIPMENT AND SUPPLIES
The conference room is equipped with data port, transparency projector, dry-erase board, flipchart stand, projector screen, and TV/VCR. If a projector is required, please let me know, so that I can check on its availability. Computer connectivity is available with access to a direct outside line. However, MCA does not provide the computers, dry-erase markers, or paper for flipchart stand. The kitchen provides an area for limited food/beverage preparation with a microwave oven, coffee maker, refrigerator/freezer, and small sink. A soda vending machine is available. The responsibility for all supplies, including coffee, belongs to the registrant.
HOW TO MAKE A RESERVATION
Please call 703-640-6161, ext. 103, for an appointment if you are interested in previewing the conference facility or to check availability for your group. You must submit a Reservation Request for approval by the MCA before your meeting date can be confirmed. Upon receipt of your completed form, we will send you an email or fax confirmation.
Due to space limitations in the MCA Employee Parking Lot, we request your assistance in advising all conference attendees to park in the second tier parking lot which backs up to the recreation field. Parking priority is given to MCA Employees and Bookstore Customers
We are delighted to share our facility with you … but MCA employees cannot fax or copy materials, nor download information to our computers in order to print out information. Neither can they handle incoming or outgoing phone calls for your group. If you do require support with connecting your computer to the projector, minimal IT support is available.
Facilities and water fountain are located just outside the conference room to the right.
Smoking is not permitted inside the building. The designated smoking area is outside on the south end of the lawn or within the gazebo located nearby.
A pleasant, open area to stretch during your conference breaks! Please advise participants to be considerate of their noise level in the Atrium as many of our offices are open to the area below.
Please ensure that the conference room is left clean and tidy by wiping spills on the tables and counter area, cleaning the dry-erase board and policing trash. If you have “rearranged” the conference room to suit your needs, kindly return the room to its original configuration when finished. It is the responsibility of the participant to clean up any liquid spills on the carpet.
